About the role

Key responsibilities & impact
  • Serve as the primary point of contact for visitors, participants, prospective participants, vendors, and community partners.
  • Answer and direct incoming phone calls, emails, text messages, and inquiries in a professional and timely manner.
  • Greet guests and ensure a welcoming and positive experience for all individuals entering the office.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Maintain visitor logs and support office security procedures.
  • Respond to inquiries regarding program eligibility, services, enrollment requirements, and community resources.
  • Conduct intake screenings and collect preliminary participant information.
  • Assist prospective participants in completing required forms, documentation, and enrollment paperwork.
  • Maintain accurate participant records and ensure all intake documentation is complete and organized.
  • Provide administrative support to the Executive Director, Chief Operating Officer, and other leadership team members.
  • Assist with scheduling appointments, meetings, and organizational events.
  • Coordinate meeting logistics, including room reservations, technology setup, and refreshments as needed.
  • Maintain electronic and physical filing systems to ensure accurate recordkeeping and document management.
  • Ensure the office remains organized, stocked, and operational by managing office supplies and inventory.
  • Coordinate with vendors, building management, and service providers regarding office needs and maintenance requests.
  • Monitor shared office calendars and assist with scheduling and logistical coordination.
  • Assist in maintaining office procedures and operational systems that improve efficiency and effectiveness.

Requirements

What you’ll need
  • 2–4 years of experience in an administrative, office management, intake coordination, customer service, or executive support role.
  • Experience working directly with clients, participants, customers, or community members.
  • Exceptional customer service and interpersonal communication skills.
  • Comfortable engaging with individuals from diverse backgrounds and circumstances with empathy, professionalism, and respect.
  • Experience managing intake processes, scheduling, or participant-facing communications.
  • Strong organizational skills and can manage multiple priorities simultaneously.
  • Proficient in Microsoft Office Suite, Google Workspace, databases, and general office technology.
  • Maintain professionalism and confidentiality when handling sensitive participant and organizational information.
  • Proactive, dependable, and able to work independently with minimal supervision.
