Execute timely and accurate payroll tax payments across multiple jurisdictions, ensuring compliance with federal, state, and local regulations for all tax payment types, including periodic payrolls, quarter-end, year-end, Amendment, and Tax Notice payment transactions
Analyze and validate tax liability data for accuracy before processing payments; research and resolve complex out-of-balance and exception items
Import and post tax liabilities into the tax engine, reviewing and correcting data errors, and ensuring system integrity
Monitor and manage unpaid, late, held, or returned tax payments, applying root cause analysis and remediation strategies to mitigate client impact
Serve as a primary escalation point for internal stakeholders and clients regarding tax payment issues; demonstrate a client-first mindset in resolving concerns
Set up and maintain Electronic Funds Transfer (EFT) credit access, and ensure secure and compliant remittance mechanisms
Proactively audit daily tax payment activity to ensure controls are properly executed, discrepancies are addressed, and compliance standards are upheld
Maintain and enhance internal process documentation and ensure adherence to company and department SOPs and workflows
Partner with internal Payroll Services teams to ensure end-to-end service continuity and to drive process improvements
Stay current with regulatory changes and payment compliance requirements, proactively advising leadership of emerging risks
Keep Management informed of any issues encountered in a Timely fashion
Track and report key performance indicators (KPIs) and metrics to assess service quality and identify trends
Contribute to a culture of operational excellence by identifying and implementing best practices that improve accuracy, reduce risk, and enhance efficiency
Support audits, compliance reviews, and internal assessments as needed
Perform additional responsibilities as assigned by management
Requirements
2-4 years of experience in Payroll tax payment processing, time-sensitive movement of funds on behalf of customers
Familiarity with high-volume or deadline-driven environments
Experience in using MasterTax
Analytical, strategic thinking, and problem-solving skills
Strong ability to collaborate across teams
Ability to learn and work in a fast-paced and evolving environment
Excellent time management skills with a proven ability to meet deadlines
Experience with the BambooHR software (preferred)
