About the role

  • Provide high level administrative, clerical, and legal support for a large global law firm
  • Maintain legal files (both paper & electronic), organize and file documents in designated order
  • Prepare, keyboard, enter, proofread and process legal and administrative correspondence
  • Process time entry, open new matters, draft engagement letters and audit responses
  • Make travel arrangements and process reimbursement expenses
  • Maintain calendars, collate information, write reports, prepare agendas
  • Review and prepare billing invoices and other administrative duties as needed
  • Manage phone lines for supported attorneys, field calls and convey messages
  • Communicate with clients and agencies
  • Update information and upload documents into an immigration case management system
  • Manage document deliveries and track final executed documentation
  • Assist with overflow work and perform additional duties and responsibilities as assigned

Requirements

  • Bachelor’s Degree or equivalent experience is preferred
  • Minimum 5 years of experience working in an Immigration law practice strongly preferred
  • Computer proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook)
  • Experience with document management and other office technologies
  • Previous experience with INSZoom is a plus
  • Exceptional computer skills with the ability to learn new software applications quickly
  • Strong ability to maintain high standards and use good judgment
  • Strong attention to detail, organizational skills and ability to manage time effectively
  • Excellent interpersonal and communication skills and ability to collaborate in a team
  • Ability to work under pressure to meet strict deadlines
