Executive Engagement Operations Specialist

About the role
Key responsibilities & impact- Serve as a primary point of coordination for executive engagement requests, supporting structured intake, prioritization, and documentation.
- Track engagement requests, timelines, approvals, deliverables, and follow-up actions to ensure commitments are met and expectations are clear.
- Support scheduling coordination in partnership with executive scheduling resources, while maintaining awareness of competing priorities and sensitivities.
- Ensure alignment between engagement purpose, audience, logistics, and desired outcomes.
- Develop comprehensive, concise, and well-organized executive briefing documents to support leadership success before meetings, events, and speaking engagements.
- Gather and synthesize information from multiple sources—including internal partners, subject-matter experts, and background materials—into clear, actionable briefings.
- Ensure briefing materials reflect appropriate context, key objectives, relevant background, stakeholder profiles, talking points, and logistical details.
- Maintain high standards for accuracy, clarity, tone, and confidentiality in all materials.
- Maintain systems and tools to track engagement activity, requests, and outcomes over time.
- Support timely follow-up after engagements, including documentation of outcomes, next steps, and relationship considerations.
- Identify opportunities to improve processes, templates, and workflows that support executive engagement operations.
- Work collaboratively with colleagues across the Office of the President, Marketing/Communications, Institutional Advancement, Strategy, and other partners.
- Represent the Office of the President with professionalism, discretion, and a service-oriented mindset.
- Exercise sound judgment when handling sensitive information, confidential materials, and executive communications.
Requirements
What you’ll need- Bachelor's Degree
- More than 3 years of experience in executive coordination, project coordination, operations, communications support, or a related role. Experience supporting senior executives or working in an executive office, healthcare system, nonprofit, or complex enterprise organization is preferred.
