About the role

Key responsibilities & impact
  • Serve as a point of contact for patient care advocacy and patient-related communications.
  • Communicate professionally with patients, families, therapists, and internal team members.
  • Support patient discharge processes and follow applicable discharge procedures.
  • Coordinate and track progress report deadlines for insurance companies.
  • Submit progress reports and required documentation to insurance companies in a timely manner.
  • Send reminders to therapists and clinical team members regarding report due dates and required documentation.
  • Assist with authorization, reauthorization, and insurance-related communication as needed.
  • Maintain accurate patient trackers, active client lists, and administrative documentation.
  • Support verification of discharge documentation and patient chart completion.
  • Respond to patient and family inquiries in a calm, professional, and service-oriented manner.
  • Handle confidential patient information in accordance with HIPAA and company policy.
  • Support front-office and back-office administrative tasks as needed.
  • Complete other related duties as assigned by management.

Requirements

What you’ll need
  • Prior experience in healthcare administration, patient coordination, insurance coordination, or a similar administrative role preferred.
  • Strong written and verbal communication skills.
  • Excellent organization, follow-through, and attention to detail.
  • Ability to manage multiple deadlines and shifting priorities.
  • Professional and compassionate communication style when working with patients and families.
  • Comfortable using email, spreadsheets, patient trackers, and administrative systems.
  • Ability to maintain confidentiality and follow HIPAA requirements.
  • Ability to work independently while also collaborating with a team.
