About the role

  • Assist in operation of department and perform additional job-related duties as assigned
  • Provide efficient and timely communication to multiple HOA Board of Directors and homeowners
  • Attend and facilitate board, annual and special meetings; prepare meeting packets
  • Create community budgets and review financial documents
  • Obtain and negotiate vendor contracts (landscaping, maintenance, etc.) and manage vendor relationships
  • Review and ensure compliance with HOA documentation; handle violations and homeowner inquiries
  • Document communications, conduct research, follow up on requests, and file paperwork
  • Use Google Suite and general office equipment; sit and work at a computer for extended periods

Requirements

  • Proficient with Google Suite applications including Gmail, Docs and Sheets
  • Communicate effectively in person or by telecommunications with Board of Directors, homeowners and co-workers
  • Strong interpersonal, written and verbal communication skills
  • Ability to multitask and work autonomously with limited supervision
  • Strong decision-making, organizational and problem-solving skills
  • Ability to manage multiple client relationships simultaneously
  • Attend and facilitate Board of Directors, annual and special meetings (usually evenings)
  • Prepare meeting material packets, create budgets, obtain and negotiate vendor contracts
  • Ability to review, interpret and ensure compliance with HOA documentation and financial documents
  • Assist clients with maintenance, accounting, violations, and other community issues
  • Document and retain all communications with board members, vendors, and support teams
  • Ability to research, follow up and resolve homeowner requests
  • Filing and general office duties; utilize telephone, fax, copy machine
  • Strong attention to detail and time-management
  • Proper grammar; professional business conduct
  • Prior HOA experience a plus; general understanding of HOA documents helpful
  • Bi-lingual helpful
  • Must hold current Georgia Real Estate License
