About the role

Key responsibilities & impact
  • Ensure excellence in the logistical journey of event guests, from strategic management of accommodation inventory to issuing tickets, organizing rooming lists, and providing travel support.
  • Serve as the primary point of contact for speakers and VIP guests.
  • Establish the air ticket ceiling and prepare the initial contact letter.
  • Issue, change, and send flight details, vouchers, and airline tickets to guests and staff.
  • Enter airline ticket data into IW.
  • Charge for extra nights or fare differences.
  • Issue travel insurance for international guests.
  • Coordinate inbound and outbound transfers with the transfer team.
  • Block room allotments with hotel partners and manage room counts.
  • Monitor cancellation and reduction deadlines and contractual adjustments.
  • Prepare, send, and verify rooming lists.
  • Reconcile rooming lists and financial closings with hotels.
  • Process changes during the event.
  • Enable online sales on the event website.
  • Track sold rooms for shuttle logistics and add staff to the hotel rooming list.

Requirements

What you’ll need
  • Bachelor's degree completed or in progress in Tourism, Hospitality, Public Relations, Executive Secretariat, Events, Business Administration or related fields.
  • Previous experience in travel agencies, customer service focused on corporate/event travel and/or reservations and hotel relationship management.
  • Proficiency with data management tools and spreadsheets such as Excel or Google Sheets.
  • Analytical profile for sales tracking.
  • Availability to travel and work on-site at events.
  • Intermediate English.
  • Knowledge of issuing and rebooking airline tickets and travel insurance.
  • Basic understanding of fare rules and airline networks.
  • Operation of travel platforms such as IW.
  • Management and completion of rooming lists.
  • Knowledge of the hotel market.
  • Understanding of accommodation contracts, including deadlines, penalties and cancellation policies.
  • Operation of booking systems and online sales platforms.
  • Logical skills for cross-referencing logistical data between accommodation and transportation.
  • Empathy and hospitality when servicing high-profile guests.
  • Quick problem-solving under pressure.
  • Clear and concise written and verbal communication.
  • Strong organization, multitasking and attention to critical details.
  • Systems thinking and the ability to anticipate risks.
