About the role
Key responsibilities & impact- Responsible for ensuring excellence in the logistical journey of event guests
- Manage everything from issuing tickets and arranging accommodations to providing support during travel
- Serve as the primary point of contact for speakers and VIP guests
- Ensure accuracy in service and efficiency in managing logistical costs
- Establish airfare caps and draft the initial contact letter
- Issue flights according to the dates provided by guests and their activities
- Enter flight details into IW
- Send voucher and e‑ticket to the guest
- Complete the rooming list according to dates and room categories
- Charge for extra nights or rate differences when necessary
- Issue travel insurance for international guests
- Make flight changes if requested by the guest or by the scientific committee
- Reconcile the rooming list with the hotel
- Coordinate transfers in and out together with the transfer department
- Verify final hotel billing/closeout
- Issue air tickets for the team
Requirements
What you’ll need- Bachelor's degree completed or in progress in Tourism, Public Relations, Executive Secretariat, Events, or related fields
- Previous experience in travel agencies or customer service (focus on corporate travel/events)
- Proficiency with data management tools and spreadsheets
- Intermediate English
- Availability to travel
- Fluent English and/or advanced Spanish (for serving international guests)
- Specific experience serving healthcare professionals (doctors, speakers)
- Knowledge and application of AI tools and solutions
