About the role
Key responsibilities & impact- Act as the primary Cayuse Point of Contact for assigned PAO multimedia production requirements
- Receive, review, log, prioritize, and coordinate video, photography, livestream/multicast, and graphics requests
- Maintain and utilize an automated or software-based request-management and scheduling system
- Respond to customer requests within one business day
- Develop and deliver staffing plans, resource requirements, schedules, and key assumptions within three business days of receiving requests
- Identify and communicate personnel, equipment, and scheduling conflicts and provide solutions
- Coordinate standard and major event planning activities while meeting required lead times
- Schedule and coordinate videographers, photographers, livestream production staff, and graphics teams
- Facilitate production operations, including IPRs, rehearsals, customer meetings, and preparation activities
- Brief personnel on event locations, access requirements, customer priorities, deliverables, and deadlines
- Handle military installation access permissions and administrative arrangements
- Oversee graphics production from requirements gathering through approval and final deliverables
- Conduct or oversee final quality assurance reviews before distribution
- Monitor customer satisfaction, manage issues, resolve complaints, and collect feedback
- Maintain comprehensive project records, logs, schedules, and performance metrics
- Manage software licenses and coordinate maintenance or replacement of production resources
- Support staffing continuity with primary and backup production personnel
- Perform other duties as assigned
Requirements
What you’ll need- A minimum of five (5+) years of experience in project management, program coordination, operations management, production management, event management, or a related field
- At least three (3+) years of experience managing multiple concurrent projects, deliverables, or customer requests in a deadline-driven environment
- Proven ability to manage schedules, resources, customer communication, deliverable tracking, and issue resolution
- Experience coordinating and managing technical, creative, or production personnel
- Proficiency in developing and maintaining trackers, calendars, work plans, status reports, and customer action logs
- Excellent written and verbal communication skills, with a strong attention to detail
- Demonstrated ability to work independently with minimal day-to-day supervision
- Local availability on Oahu
- Ability to meet military installation access requirements
- Must be able to pass a background check; additional background checks may be required
- Exceptional interpersonal, verbal, and written communication skills
- Excellent organizational, analytical, and problem-solving skills
- Ability to multitask and prioritize in a fast-paced environment with changing priorities
- Must be self-motivated and able to work independently and on a multi-functional team
- Ability to handle sensitive and confidential information appropriately
- Proficient in MS Office, Word, Outlook, PowerPoint, and Excel
- Preferred: seven (7+) years of experience in project/program management or coordination
- Preferred: prior experience within the Department of Defense (DoD), U.S. Army, government contracting, or defense industry
- Preferred: exposure to Public Affairs, strategic communications, multimedia, creative services, or event production operations
- Preferred: familiarity with federal contract compliance, deliverables management, quality control standards, invoice validation, and performance tracking
- Preferred: PMP, CAPM, or equivalent certification
- Preferred: knowledge of military ceremonies, senior-leader events, and installation operations
