About the role Executive Assistant/Operations Assistant supporting an immigration services company that helps clients secure visas and offers family-based immigration services Inbox management: efficiently manage incoming emails, prioritize, respond, and ensure timely follow-ups Process improvement: identify and streamline workflows and procedures to enhance efficiency Client database management: data entry and upkeep of client information, ensuring accuracy and security Calendar management: schedule appointments, meetings, and coordinate calendars across team members Sales support: prepare sales materials, manage client leads, and assist sales team with administrative tasks Communication and documentation support: prepare documents, reports, and presentations; facilitate internal and client communications Other admin assistance: filing, organizing documents, making travel arrangements, and handling ad-hoc requests Research: conduct research, gather information, and provide summaries or analyses to support decision-making Requirements At least 2+ years of relevant working experience Strong background in executive and administrative assistance; experience in providing sales support is a plus Background or experience with legal/immigration is preferred Great pattern-recognition and attention to detail Strong language skills written and spoken; able to communicate clearly and succinctly Good reporting function Works with high reliability and proactively reports on statuses of tasks Eager learner and high coachability Sharp generalist with street smarts Proactive and able to anticipate needs Exceptional organizational skills Creative problem-solver Full Time | 40 hours per week | Eastern/Pacific Standard Time Zone (work hours requirement) Fully remote work arrangement.
