About the role

Key responsibilities & impact
  • Maintain full visibility across CEO priorities, projects, and commitments.
  • Track and ensure follow-through on all key initiatives.
  • Maintain executive calendar through scheduling and avoiding conflicts.
  • Support decision-making by organizing information, context, and next steps.
  • Process invoices and payments and organizing supplies as needed.
  • Act as a central point of coordination between leadership, operations, and vendors.
  • Own and maintain task management, CRM, and KPI trackers and reporting sheets.
  • Ensure all systems are accurate and up-to-date.
  • Build, refine, and improve SOPs and workflows.
  • Identify inefficiencies and implement long-term solutions.
  • Work in partnership with the Virtual Assistant to ensure seamless execution of tasks, emails, inboxes, and calendars.
  • Ensure clear communication across leadership, team members, and external partnerships.
  • Draft, review, and send communications on behalf of the CEO with consistency and professionalism.
  • Ensure all interactions are clear, timely, and aligned with company values.
  • Utilization of AI to streamline workflows and automation to increase overall efficiency.

Requirements

What you’ll need
  • Bachelor's degree in Business, Marketing, or a related field (or equivalent work experience) preferred but not required
  • 3-5+ years of proven experience in administrative roles or similar fields that require high detail orientation, time management, and organization
  • Strong organizational and operational thinking skills
  • Excellent communication and interpersonal skills
  • Ability to work independently and as part of a collaborative team
  • Familiarity with CRM software, sales tools, Google Workspace, and AI platforms
  • Results-oriented with a strong drive to achieve and exceed targets
  • High attention to detail and ownership mindset
  • Must live near or around Wichita, KS.
