About the role

Key responsibilities & impact
  • Manage the intake pipeline from initial inquiry through enrollment
  • Respond quickly to families, prospective clients, and referral sources interested in ABA services
  • Explain ABA services and the intake process to prospective families
  • Proactively follow up by phone, text, and email
  • Maintain a clear next step and follow-up plan for every active intake
  • Build relationships with families and guide them through the intake process
  • Collaborate with Operations and Care Coordination teams on eligibility, service needs, and next steps
  • Coordinate intake and other required appointments
  • Maintain accurate records of communications, referrals, follow-ups, documentation, and next steps
  • Prepare, collect, and track intake, consent, and other required forms
  • Identify stalled intakes, missing information, and barriers, and resolve them
  • Support families through handoff to Care Coordination and toward the start of services
  • Own every lead through an outcome
  • Improve the speed, smoothness, and quality of the intake process
  • Support the growing company wherever needed

Requirements

What you’ll need
  • Experience in intake, admissions, recruiting, sales, customer service, healthcare, behavioral health, or another fast-paced, people-facing role preferred
  • Experience with insurance payors, including commercial insurance and Medicaid, is a plus
  • Previous ABA experience is strongly preferred
  • Ability to understand ABA and explain it confidently and accurately to families
  • Strong organizational skills and ability to track multiple moving pieces
  • Proactive follow-up and strong sense of urgency
  • Persistence while maintaining warmth and compassion
  • Clear, professional communication by phone, text, and email
  • Problem-solving ability
  • Ability to work independently and take ownership of responsibilities
  • Comfort being accountable for results
  • Ability to learn new systems and technology quickly
  • Commitment to creating a positive family experience
  • Bachelor's degree in psychology, social work, counseling, or a related field preferred, but candidates without one are welcome
