About the role
- Asserting and leading the Document Control Function within the PMO.
- To define and standardise the process for producing, receiving, reviewing and issuing all project related documentation (internal and supplier)
- Define the quality standards on how documents are checked, reviewed and issued
- Establish and implement mechanisms for ensuring documentation is issued to the right parties in a timely manner
- Specify and produce reports for tracking and assuring projects for quality and schedule adherence
- Act as main administrator for the EDMS (WRENCH) and Identifying and implementing improvements and process efficiencies
- Defining and implementing Assurance Scoring metrics for Projects

- Ensuring all Project documentation is in-line with quality standards.
- Control and manage receipt and submission of deliverables to clients and suppliers
- Lead the ongoing continuous improvement of the document control system (EDMS)
- Refinement and ongoing improvement of all document control processes.
- Creation and updating of distribution matrix within the EDMS.
- Creation and updating of document workflows within the EDMS.
- Weekly/monthly progress reporting on MDR and document status / maintaining KPIs (Key Performance Indicators).
- Application and maintenance of document meta-data.
- Training new users onto EDMS and key point of contact for technical issues.
Requirements
- The ideal candidate will ideally possess 3-5 years’ experience as a Document Controller in an engineering project environment. Process industries knowledge (Chemicals, Oil and Gas or similar) is preferable but not necessary
- Exposure, either working for or as an interfacing supplier or client to, EPC contracting environments
- High levels of experienced with EDMS systems – Ideally Wrench experience
- Demonstrated high level of autonomy, diligence and a collaborative, positive nature is essential.
- Leading, influencing and motivating Project team members and other stakeholders
- A “can do” attitude, bringing solutions, not problems
- A meticulous eye for detail when reviewing project documentation for quality and consistency
- High organisational skills and a consistent approach to structuring project documents
- Strong interpersonal and communication skills – able to influence both with and without authority across remote / dispersed teams.
- Negotiation and understanding – able to assist teams with competing priorities and workloads to continue progressing multiple projects.
- Comfortable with the tension between expectations to operate independently yet proactively engaging with others for support when needed – support a no surprises culture.
- Demonstrable experience driving document management excellence in project environments within ambiguous and changing circumstances
- Structured, detailed and organised approach with an open mind to innovation
