Administrative Assistant
Carbel Auto GroupExecute administrative control and processes in Marketing and CX at Carbel Auto Group. Ensure compliance and organization in operational tasks and document verification.
About the role
Key responsibilities & impact- Perform operational administrative execution of control routines, system entries and monitoring of processes related to Marketing and CX.
- Ensure organization, compliance, document verification and correct execution of the area's system workflows.
- Receive requests, documents, quotes and information related to the area's administrative processes.
- Open and monitor RCPs — Purchase and Payment Requisitions.
- Execute system entries related to the area's administrative processes.
- Reconcile information between quotes, RCPs, invoices, system records and internal approvals.
- Ensure organization and operational monitoring of administrative workflows.
- Maintain operational control of documents and records related to the area's processes.
- Track administrative requests through to completion of the operational workflow.
- Ensure adherence to processes, internal rules and company-defined procedures.
- Contact suppliers when necessary to align on invoices, withholdings, adjustments or document corrections.
- Monitor administrative follow-ups with suppliers and internal departments.
- Request payment confirmations from Finance when necessary for sending to suppliers or supporting the company's internal processes.
- Provide operational support for administrative workflows related to cooperative media processes.
Requirements
What you’ll need- High school diploma.
- Technical high school diploma is a plus.
- Technical administrative or related qualification.
- Technical or professional courses related to administration, administrative processes, business routines or operational controls.
- Previous participation in corporate professional training, apprenticeship or administrative development programs will be considered a plus.
- Previous experience in administrative routines, operational controls or administrative support activities is a plus.
- Technical or vocational courses focused on business, administrative and operational routines, including institutions such as Sebrae and related programs, will be considered a plus.
- Microsoft Office package required.
- Basic to intermediate Excel.
- Comfortable working with systems and administrative routines.
- Quick to learn internal systems.
- Knowledge of administrative workflows and operational controls is a plus.
- Attention to detail and accuracy in information verification.
- Ability to identify inconsistencies in data and processes.
- Ability to follow rules, workflows and operational procedures.
- Quick learner of system and operational tasks.
- Logical reasoning applied to information verification and administrative controls.
