About the role

Key responsibilities & impact
  • Manage daily calendars for multiple executives, adjusting and prioritizing schedules based on last-minute changes
  • Arrange and reserve conference rooms, catering, audio/video, and other meeting services
  • Coordinate travel arrangements and create expense reports using Capital One systems
  • Drive team activities and events, including all-hands meetings, team meetings, conferences, supply ordering, and social events
  • Prepare professional business communications, including memos, letters, and emails
  • Build and maintain business relationships with executives and administrative staff
  • Perform general administrative duties, distribute mail, and handle ad-hoc projects, committees, and group events
  • Promote a fun and team-oriented work environment

Requirements

What you’ll need
  • High School Diploma, GED or equivalent certification
  • At least 2 years of administrative experience
  • At least 2 years of experience with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) or Google Suite
  • Associate’s Degree preferred
  • 5+ years of experience as an Executive Assistant or Administrative Assistant in a fast-paced environment preferred
  • 3+ years of calendar management supporting multiple executives preferred
  • 1+ year of meeting and event planning experience preferred
  • Experience setting up video conferences and Zoom/Skype technology for meeting users preferred
  • Experience planning ahead and managing time effectively preferred
  • Excellent written and verbal communication preferred
  • Excellent organizational skills preferred
