About the role

Key responsibilities & impact
  • Docket all incoming deadlines and official actions from patent offices
  • Maintain accurate records of patent portfolios, including application status, deadlines, and correspondence. Enter and update data in the IP management system
  • Monitor and track patent deadlines, ensuring timely action and compliance with legal requirements. Assist in maintaining docketing systems and generating reminders.
  • Draft and send routine correspondence; communicate with internal and external stakeholders to gather required information.
  • Provide general administrative support to the IP team, including saving emails, reporting to clients and processing invoices.
  • Prepare and file patent applications and related documents with national and international patent offices (e.g., UKIPO, EPO, WIPO); Assist in coordinating deadlines for patent filings and responses.

Requirements

What you’ll need
  • Previous experience providing legal or administrative support; exposure to Intellectual Property (IP), Patents, or Trademarks is advantageous but not essential.
  • Strong organisational and time-management skills, with the ability to prioritise tasks effectively.
  • Exceptional attention to detail and a high level of accuracy.
  • Clear and confident written and verbal communication skills.
  • Strong proficiency in Microsoft Office applications (Word, Excel, Outlook).
  • Ability to work well under pressure, demonstrating both teamwork and the initiative to work independently when required.
  • Professional working proficiency in English; additional European language is desirable.
  • CIPA qualification is preferred but not essential.
