About the role

  • Administering HR related documentation, such as contracts of employment, applications for work permits, national insurance, and enrolling employees with the respective, national authorities etc.
  • Maintain the Malta tracker sheet containing key employee information, including onboarding, terminations, contract modifications, and work permit details.
  • Draft and issue Modification agreements for both employees and contractors as required
  • Manage the resignation process by acknowledging employee notices, issuing formal responses, and ensuring all HR and payroll records are accurately updated.
  • Collect, verify, and input accurate payroll data into the system for Malta, ensuring all information is complete and ready for Payroll Supervisor review and final processing
  • Acting as a main point of contact for VistaJet employees on payroll queries.
  • Ensure Payroll databases, such as Shireburn, are consistently updated and accurate, including records for new hires, employee changes, compensation, and related documentation.
  • Updating vacation and sick leave for all employees.
  • Manage FS3s, CFR receipts, and other related documentation, ensuring accurate processing and record-keeping.
  • Liaising with the rest of the HR team in various HR and Payroll related activities and projects.
  • Performing other HR general duties as assigned.

Requirements

  • Experience of a payroll environment.
  • Experience with Shireburn would be advantageous, but not essential.
  • Organised and meticulous in the performance of duties.
  • The ability to coordinate a number of activities simultaneously (multi-tasking).
  • Fluency in English is essential.
