About the role
Key responsibilities & impact- Develop, document, coordinate, and continuously improve internal operational workflows and processes
- Maintain process documentation, standard operating procedures, and operational guides
- Process staff medical, travel, and mileage reimbursements
- Process external invoice payments and reconcile health benefit invoices
- Process staff credit card receipts for compliance and reconciliation
- Support annual audit tasks
- Serve as the primary internal point of contact for IT support inquiries
- Triage IT requests and submit tickets to Ntiva
- Track recurring IT issues and communicate trends to leadership
- Coordinate IT equipment setup and recovery during onboarding and off-boarding
- Maintain office and home office equipment inventories and purchase documentation
- Coordinate recruitment details, job postings, scheduling, and candidate screening processes
- Support structured onboarding and off-boarding experiences
- Assist with planning and coordination of organizational events, retreats, Congreso, and Spring Lobby Day
- Support event registrations, venues, catering, IT setup, communications, and facilitation
- Provide on-site administrative logistical support at events
- Oversee federal, state, and local lobbying and campaign compliance record-keeping
- Track lobbying hours, expenses, payments, and staff lobby records
- Submit C4 lobbying reports to Beyond Impact via NetSuite
- Assist with benefits open enrollment and payroll administration
- Collect and verify timesheets, track PTO and leave balances, and report discrepancies
Requirements
What you’ll need- Associate or bachelor's degree in business administration, Organizational Management, or a related field preferred; equivalent experience will be considered
- Minimum 2–3 years of experience in an administrative, operations, human resources, or coordinator role
- Prior experience supporting HR processes, financial systems, or IT coordination is highly desirable
- Strong organizational skills and ability to manage multiple priorities and deadlines
- Excellent written and verbal communication skills
- High proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
- Comfort working within cloud-based platforms and databases
- High proficiency in HRIS and other operational systems
- Experience with BambooHR, BOX, and SLACK preferred
- Ability to develop or improve administrative processes and document procedures clearly
- High degree of accuracy in data entry and record keeping
- Ability to handle sensitive and confidential information professionally and discreetly
- Service-oriented, collaborative approach and strong interpersonal skills
- Ability to work independently and know when to escalate or seek guidance
- Ability to travel regularly, about 8 times per year, mostly in California
- Ability to occasionally lift office supplies or equipment up to 20 lbs.
