About the role
Key responsibilities & impact- Assist with planning, organizing, and coordinating project activities
- Support the development and maintenance of project schedules
- Support the project team to adhere to timelines and deliverables
- Participate in pre-construction meetings and tendering activities
- Maintain and review all project documentation including contracts, drawings, field work orders, requests for information, submittals, changes, and close-out records
- Ensure proper document version control and accessibility
- Work with Closeout specialist to gather documentation (O&M manuals, warranties) and coordinate warranty work
- Track and report project expenditures
- Price and process Change Notices, Change Directives, and Site Instructions
- Alert project manager of potential cost overruns
- Maintain strong relationships with clients, consultants, trades, and suppliers
- Organize and document project meetings (agendas, minutes, action items)
- Act as a key liaison between field teams and head office
- Support in the development and updating of project schedules
- Monitor and report on scheduling deviations or delays
- Maintain and update submittal logs with accurate dates
- Support quality control efforts and ensure adherence to project specifications and industry standards
- Adherence to health and safety protocols and regulations and promote others to do the same
- Provide mentorship and guidance to Junior Project Coordinators as needed
- Support the project team with daily administrative and coordination tasks
Requirements
What you’ll need- Post-secondary education in Construction Management, Civil/Architectural Engineering, or related field
- Minimum 2 years of experience in the construction industry
- Familiarity with submittals, RFIs, change orders, and close-out processes
- Proficient with Microsoft Office Suite (Excel, Word, Outlook, Project)
- Experience with Procore, Primavera P6, BIM, and Axis Accounting Software is an asset
- LEED, Net Zero, WELL, or Passive House accreditation is an asset
