Provide technical and administrative support to field and operations staff
Coordinate contract administration, purchase orders, and change orders
Assist in developing a network of qualified subcontractors to support operational services
Set up projects in digital writing platform and nTel to ensure proper communication and data flow
Research project information and gather required documents from client supplied material (CSM) or municipalities
Review, understand, and interpret municipal survey/zoning codes
Ensure project information in nTel remains consistent with Vision, P-Drive, and SharePoint; enter/update client, vendor, and sales lead contact information
Track project progress, communicate scheduling delays/issues to Sr. PC/PM, and assist resolving general issues
Notify relevant team members when new information is uploaded to nTel and/or P drive
Assist with vendor recruitment, onboarding into FLEX, and maintain vendor compliance
Obtain pricing and timing from vendors for proposals and coordinate on-site schedules with POCs
Upload and disseminate CSM to team and vendors and distribute final deliverables to client
Review and interpret client comments before sending to vendors and prepare non-technical contractual reporting/deliverables
Perform survey/zoning reports/summary, technical reviews, and due diligence services for commercial real estate
Forward vendor deliverables for technical review and assist with client follow-up on outstanding proposals and projects
Develop reports defining project progress, problems, and solutions and track data through web-based project management tools
Receive and disperse Client Supplied Material (CSM) and contact municipality departments for project information
Perform special projects assigned by leadership and identify opportunities to improve efficiency and technological solutions
Protect company information confidentiality, follow SOPs, and maintain safe and clean work area
Requirements
High school diploma or General Education Diploma (GED) required; some college preferred
Minimum of two years of administrative type experience
Ability to read, analyze, and interpret project/technical documents, technical procedures, or governmental regulations
Ability to write reports, business correspondence, and procedure manuals
Ability to effectively present information and respond to questions from clients, peers, and technical field staff
Ability to tailor presented information or query response to receiving party
Ability to define problems, collect data, establish facts, and draw valid conclusions
Ability to interpret an extensive variety of technical instructions and deal with several abstract and concrete variables
Proficient in operating a computer, with knowledge of word processing software, spreadsheet software, and project management software
Time management, active listening, critical thinking, and problem solving skills
Ability to motivate, develop, and direct people; work independently and in a team environment
Ability to successfully work from remote location
Must have a cell phone and supply your own internet service
Ability to meet the physical demands of the job (occasionally lift/move up to 10 pounds, vision requirements, etc.)
