About the role
Key responsibilities & impact- Draft, review, and track commercial agreements including NDAs, vendor agreements, SOWs, and amendments
- Maintain the contract management system, ensuring accurate records of key dates, obligations, and renewal deadlines
- Coordinate signature workflows and distribute fully executed agreements to relevant stakeholders
- Maintain corporate records, including entity formation documents, board resolutions, and organizational charts
- Assist with board meeting preparation, including assembling materials and drafting minutes
- Manage annual filings, registered agent relationships, and state-level compliance across all jurisdictions where the company operates
- Coordinate the intake, tracking, and management of insurance claims across all lines of coverage (e.g., general liability, D&O, E&O, property, cyber)
- Serve as the primary liaison between the company, insurance carriers, and brokers throughout the claims process
- Gather and organize supporting documentation for claim submissions, including incident reports, financial records, and correspondence
- Monitor claim status and deadlines, and maintain a centralized claims log with current disposition and reserve information
- Assist with policy renewal processes by compiling loss runs, claims histories, and other underwriting data
- Track and reconcile claim payments and recoveries against policy terms and deductibles
- Assist with litigation holds, document collection, and e-discovery processes
- Organize and maintain case files and track litigation deadlines
- Coordinate with outside counsel on document production, filings, and scheduling
- Serve as a point of contact for internal clients on routine legal inquiries and process questions
- Manage outside counsel invoices, track legal department spending, and assist with budget reporting
- Develop and maintain templates, playbooks, and process documentation for recurring legal workflows
- Conduct preliminary legal research as directed by attorneys on the team
Requirements
What you’ll need- Paralegal certificate from an ABA-approved program, or equivalent combination of education and experience
- 3+ years of paralegal experience, with at least 1 year in an in-house legal department
- Strong proficiency with contract management systems and legal technology tools
- Excellent organizational skills with the ability to manage multiple projects and deadlines simultaneously
- Strong written and verbal communication skills
- Preferred Bachelor's degree
- Notary public certification
- Experience with entity management software (e.g., CSC, CT Corporation)
