Provide high quality secretarial and administrative support by running an efficient office focusing effort on achieving objectives
Manage and prioritise Leaders' diaries (diary can constitute up to 80% of workload); connect regularly to build partnership and align on priorities
Adapt and establish new ways of working; introduce collaboration applications and simplify processes using digital technology
Maintain diplomacy, discretion and confidentiality when handling sensitive strategic, commercial and personnel matters
Coordinate and manage every aspect of travel itineraries (including venue bookings), anticipating needs and ensuring cost effectiveness and compliance
Prepare meeting papers with content owners at least 48 hours in advance; set processes for reading papers; create and edit agendas, slides, briefing papers in Word and PowerPoint
Develop processes for email management/screening; respond to routine emails and delegate as appropriate
Build and maintain internal and external stakeholder relationships; create PA support network and provide cover for EA roles
Coordinate people calls/webcasts/events and engagement/visibility plans
Develop and maintain knowledge of Office 365, Teams channels, OneNote and other BT digital applications
Act as primary point of contact and gatekeeper for office and virtual office; screen and filter calls and visitors
Ensure compliance with BT processes and policies and demonstrate financial awareness for business requests (POs, travel, A/L)
Deliver special projects and ad hoc administration tasks: produce/edit Word or PowerPoint documents, solve simple IT problems, onboard new team members, attend meetings to take notes/actions and chase to close
Requirements
Significant experience supporting senior leaders and operating within a large, complex FTSE 100 company or equivalent organisation
Confidentiality: diplomacy and discretion in keeping sensitive strategic, commercial and personnel matters
