About the role
Key responsibilities & impact- Coordinate all aspects of product or service offerings from inception through installation and final delivery
- Coordinate receipt and application of project information from issuers or agents for regulatory compliance
- Coordinate timely delivery of accurate deliverables for issuer clients
- Coordinate with Client Management and Production Operations teams on regulatory requirements
- Complete operational duties using Microsoft Access, Excel, internal systems, and mainframe applications
- Extract, enter, and maintain large volumes of alphanumeric data accurately and on schedule
- Perform quality control by validating data, comparing outputs with source materials, and proofreading documentation
- Identify document or job-detail deficiencies and report them for resolution
- Review dockets, samples, search cards, and work orders; verify information and provide sign-off
- Confirm received and mailed materials match project requirements
- Communicate Canadian processing updates and coordinate with Receiving and Finance
- Review mailing-project requirements for securities and corporate regulatory compliance
- Coordinate, document, schedule, and monitor regulatory mailings, including Notice & Access projects
- Work with Client Management, Production Operations, Sales, and clients to clarify details and correct inconsistencies
- Support Client Management with analytical reports, meetings, profile maintenance, and mainframe updates
- Support implementation of services introduced through regulatory changes and gather client feedback
- Document processes and procedures for new or changing regulatory requirements
- Understand and document client business needs, analyze requirements, and recommend solutions
- Help coordinate accurate, timely shareholder-meeting mailings
- Plan, track, and deliver quality products and services across assigned projects
- Keep the Senior Manager, Client Relations informed of developments requiring attention or action
- Perform additional duties as assigned
Requirements
What you’ll need- High School Diploma or equivalent
- 5 years’ experience in a similar position or equivalent is preferred
- Knowledge and experience in Compliance and Audit is essential
- Exposure to printing and financial business operations is preferred
- Exposure to a detail-oriented environment
- Previous experience in the financial industry is an asset
- Strong analytical, written and verbal skills
- Ability to work under pressure and manage multiple projects at one time
- Good organization and time management skills
- Ability to work independently and in a team environment
- Ability to communicate effectively with associates, departments, management, and outside vendors
- Advanced proficiency in Microsoft Outlook, Word, Excel and Access
- Windows environment experience
- Exposure to database systems is an asset
- Basic home office setup, high-speed internet, and ability to work without distractions during core business hours
- Must complete employment, education, credit, and Canadian criminal record background checks
- Availability for overtime during Proxy season and other high-demand periods
