About the role
- Review and administer Tenant Allowance reimbursement and Leasing Commission requests
- Read, interpret, and comment on tenant construction lease language and broker agreements
- Responsible for making day-to-day decisions regarding the management of expenses
- Administer tenant improvement allowances, ensuring compliance with lease terms and company policies.
- Monitor and track tenant allowance expenditures and ensure timely and accurate reimbursements.
- Communicates with tenants: before, during, and after project life cycle
- Serve as the primary point of contact for tenants regarding leasing and improvement allowance matters.
- Address and resolve tenant concerns and issues related to lease agreements and allowances in a professional manner.
- Ensure all documentation related to leases and allowances is complete and accurately filed into e-Builder
- Review documents for accuracy and completeness
- Open and amend commitments in e-Builder
- Code invoices for payment according to budget; submit to stakeholders for approval
- Track payment progress, research information and run reports using accounting software as required
- Manage reporting and communication between departments, as needed
- Maintain tools used to track department data
- Work independently and within a team on special, nonrecurring, and ongoing projects including but not limited to reporting, lease review, ad-hoc ESG projects.
- Partner with the regional controllers to accurately project, input, and monitor activity within the project management software.
- Participate in the development of executive level reports & analysis related to project costs.
- Accurately and efficiently manage the tracking of budgets for multiple regions and departments
- Provide regular updates to management on leasing performance, tenant improvement projects, and budget status.
Requirements
- Good verbal & written communication skills (both internal & external customers)
- Must possess strong analytical skills and problem-solving abilities
- Must be able to assume initiative and work independently with minimal direction
- Strong attention to detail and organization; able to focus on multiple tasks simultaneously
- Intermediate to advanced level in MS Outlook, Word and Excel, PowerPoint
- Experience with e-Builder or comparable enterprise type system is required
- Strong math skills and understanding of accounting principles
- Ability to coordinate activities and efforts within a “team oriented” environment
- Strong time management and prioritizing skills with the ability to meet assigned project(s) deadlines
- Exhibits a “results oriented” approach to tasks, assignments and responsibilities
- Proven ability to interact successfully with multiple stakeholders
- Ability to properly handle confidential information
- Ability to work required hours and additional time as may be necessary to meet business cycles and project requirements
- An Accounting/Finance undergraduate degree
- 3 plus years’ experience in construction and/or real estate preferred.
