Executive Assistant

• Arrange travel and accommodations; prepare monthly expense reports
• Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff
• Manage the Executive's contact database
• Communicate clearly and concisely, both verbally and in writing; use sound judgment and organizational skills to appropriately triage and/or act on matters on behalf of the CFO
• Continuously organize complex calendars and schedules, resolving all scheduling issues as they arise
• Draft, prepare, and/or edit correspondence, presentations, meeting materials, and reference materials
• Manage sensitive matters and financial information with a high level of confidentiality and discretion, especially material, non-public financial information
• Conserve the Executive's time by reading, researching, collecting, and analysing information as needed, in advance
• Willingness to enthusiastically complete both high-level and low-level tasks and ad hoc special assignments
• Positively represent the CFO and the company through exceptional interpersonal skills, a keen eye for detail, consistent follow-through, and a desire to continuously improve themselves and their work
• Assist with quarterly supplemental disclosure certification process
• Research and coordinate logistics for Board/investor-related events and roadshows, including dinner reservations, hotel options, and travel/transportation arrangements
• Maintain accurate meeting logs, including roadshows and conferences, to track and report ownership trends, meeting history, and investor interactions
• Review solar and EV charging lease agreements and translate key terms, conditions, and requirements into standardized fields, templates, and workflows in Salesforce
• Leverage AI tools to enhance efficiency and support executive-level priorities

Marketing

• Provide courteous, professional, and timely assistance to tenants, customers, and employees
• Greet visitors, determine the purpose of their visit or call, and direct them to the appropriate team member or venue contact
• Manage employee parking access cards, deliveries, and maintenance requests
• Maintain inventory of office supplies and ensure items are restocked as needed
• Restock kitchen and pantry items throughout the day; ensure counters are clean and maintained
• Replenish paper at copier stations and keep copier areas neat, organized, and fully supplied
• Manage postage meter operations and maintain required mailing/shipping supplies
• Submit copier meter counts to vendors
• Sort and distribute incoming mail daily
• Coordinate messenger services, certified mail, and office maintenance vendors
• Manage utility service start‑ups and shut‑offs in coordination with utility providers
• Support the General Manager and Facility Manager in managing service contracts and certificates of insurance
• Support workspace changes including employee relocations, onboarding, and offboarding
• Assist with catering orders for meetings/events, including delivery coordination, set up, and clean up
• Provide general clerical support to the Pointe Orlando team (Word & Excel documents, filing, mailing)
• Work independently and collaboratively on both recurring and special projects
• Update website and digital event platforms for property events
• Assist with drafting and distributing tenant communications
• Maintain distribution lists (media contacts, tenant lists, property blog, email/text subscriptions)
• Order and track event supplies
• Maintain monthly Pointe Orlando tenant private group events tied to conventions and quarterly spreadsheets for Leasing
• Track quarterly metrics for measurement and reporting
• Oversee vendor agreement entry and tracking in Salesforce, ensuring timely execution and insurance documentation
• Draft and distribute new tenant overviews upon lease execution
• Create new vendors in Nexus
• Organize and maintain marketing folders and documentation
• Support special projects, events and other duties as needed

Front Office, Marketing Assistant

Analyst

• Review and administer Tenant Allowance reimbursement and Leasing Commission requests
• Read, interpret, and comment on tenant construction lease language and broker agreements
• Responsible for making day-to-day decisions regarding the management of expenses
• Administer tenant improvement allowances, ensuring compliance with lease terms and company policies.
• Monitor and track tenant allowance expenditures and ensure timely and accurate reimbursements.
• Communicates with tenants: before, during, and after project life cycle
• Serve as the primary point of contact for tenants regarding leasing and improvement allowance matters.
• Address and resolve tenant concerns and issues related to lease agreements and allowances in a professional manner.
• Ensure all documentation related to leases and allowances is complete and accurately filed into e-Builder
• Review documents for accuracy and completeness
• Open and amend commitments in e-Builder
• Code invoices for payment according to budget; submit to stakeholders for approval
• Track payment progress, research information and run reports using accounting software as required
• Manage reporting and communication between departments, as needed
• Maintain tools used to track department data
• Work independently and within a team on special, nonrecurring, and ongoing projects including but not limited to reporting, lease review, ad-hoc ESG projects.
• Partner with the regional controllers to accurately project, input, and monitor activity within the project management software.
• Participate in the development of executive level reports & analysis related to project costs.
• Accurately and efficiently manage the tracking of budgets for multiple regions and departments
• Provide regular updates to management on leasing performance, tenant improvement projects, and budget status.
