About the role

  • Lead the Data & Operations team with clear annual goals, reflection cycles, and a collaborative work environment
  • Build trust and alignment with local and summer program teams to address workflow challenges and set improvement priorities
  • Provide training and professional development to ensure smooth adoption of new tools, systems, and processes
  • Build and maintain a complete record of all program data requirements, including data sources, collection methods, frequency and deadlines
  • Oversee centralized student record-keeping systems (e.g., Salesforce) for admissions, registration, participation, and performance
  • Define, track, and maintain program data requirements to measure fidelity and impact
  • Develop self-service tools and processes enabling program staff to collect, analyze, and use program data for decision-making
  • Aggregate and analyze formative program data to inform senior leadership on wins, challenges, and priorities
  • Work with Business Operations and IT to ensure data governance, privacy, and security compliance
  • Identify and analyze core program workflows to find capacity constraints and inefficiencies
  • Recommend, test, and implement automation or tech-enabled workflow solutions and demonstrate scalability before organization-wide adoption
  • Document and maintain clear program data definitions and collection processes and communicate key deadlines and expectations
  • Deliver training on data systems, tools, and analysis for program improvement

  • Proficiency with Salesforce or other CRM/student information systems, including report/dashboard creation and workflow automation
  • Experience using spreadsheets (e.g., Excel or Google Sheets) and/or other data visualization tools, including comfort with formulas and pivot tables
  • Experience with data analysis and visualization tools (e.g., Tableau, Power BI)
  • Knowledge of designing and implementing tech-enabled process improvements, including system integration across multiple platforms
  • Knowledge of database management, data integrity, and privacy compliance best practices
  • Familiarity with automation tools (e.g., Zapier, Make/Integromat) to streamline data workflows
  • Experience using project management tools (e.g., Asana, Trello, Monday.com) to coordinate multi-stakeholder projects
  • 5+ years in program operations, data management, or process improvement (nonprofit/education setting preferred)
  • Proven ability to lead cross-functional initiatives from vision to implementation
  • Skilled in change management, building buy-in, and guiding teams through the adoption of new systems and processes
  • Strong problem-solving and critical-thinking abilities
  • Excellent interpersonal skills with the ability to collaborate across teams and influence without direct authority
  • Highly organized and detail-oriented, with the ability to manage multiple priorities in a fast-paced environment
  • Strong written and verbal communication skills, including translating complex data into clear, actionable insights
