About the role
Key responsibilities & impact- Coordinate travel and people movement for operators and production staff, ensuring the right people arrive at the right location, at the right time, ready to work effectively.
- Book and manage travel including flights, accommodation, ground transport, itineraries, and last-minute changes across multiple international events.
- Manage visa requirements for travelling staff, ensuring applications, documentation, timelines, and entry requirements are handled accurately and proactively.
- Control travel budgets, tracking costs, identifying efficiencies, and helping ensure event travel is planned and delivered within budget.
- Provide clear travel communication to staff, ensuring operators and production teams have accurate itineraries, booking details, and relevant event information before departure.
- Support freight coordination where required, assisting with shipment tracking and documentation as a secondary part of the role.
- Continuously improve travel and logistics processes, identifying opportunities to reduce costs, improve efficiency, and minimise risk.
Requirements
What you’ll need- Excellent organisational skills with the ability to manage multiple priorities simultaneously.
- Strong attention to detail and a proactive approach to problem solving.
- Excellent communication skills and confidence working with internal teams and external suppliers.
- Comfortable working with spreadsheets, travel booking platforms, budget trackers, and logistics systems.
- Flexibility to support occasional out-of-hours requests due to international events and time zones.
- Experience coordinating travel, people movement, logistics, or operations in a fast-paced environment (Nice to Have).
- Experience coordinating visas, international travel, or immigration documentation (Nice to Have).
- Experience managing travel budgets or supporting cost control (Nice to Have).
- Experience coordinating international freight or customs documentation (Nice to Have).
- Previous experience working in live events, broadcast, sport, or technology (Nice to Have).
