About the role
Key responsibilities & impact- __**Key Responsibilities:**__
- - Maintain and manage the master project tracker across all live events, ensuring it remains accurate, up to date, and accessible to all relevant stakeholders.
- - Serve as the primary point of contact between internal functions, including IP Development, Live Operations, Finance, Marketing, Legal, Sales, and Brand Servicing, ensuring effective coordination and alignment.
- - Monitor task ownership, project timelines, key milestones, and interdependencies across all functional teams to ensure alignment and timely execution.
- - Facilitate regular cross-functional status meetings to review progress, identify outstanding actions, and drive decision-making where required.
- - Proactively identify, escalate, and track risks, issues, and potential blockers to ensure timely resolution and minimise impact on project delivery.
- - Ensure all stakeholders are provided with the necessary approvals, briefs, assets, information, and resources to successfully execute their responsibilities.
- - Manage communication with senior leadership by preparing concise, accurate, and actionable project updates that clearly highlight key developments, risks, and decisions required.
- - Coordinate with external partners, agencies, and vendors to ensure alignment on project scope, deliverables, timelines, and performance expectations.
- - Generate and distribute concise project status reports for internal and external stakeholders, detailing progress, milestones, risks, and actions.
- - Create comprehensive post-event reports that evaluate against objectives, KPIs, budget, operations, and lessons learned for continuous improvement.
Requirements
What you’ll need- __**Skills **__
- - 6 - 9 years of experience in project or programme management, preferably within live events, media, sports, esports, gaming, entertainment, or related industries.
- - Proven ability to manage complex, multi-stakeholder projects from planning through execution while meeting strict timelines and business objectives.
- - Strong cross-functional collaboration skills, with experience working across creative, commercial, operational, technical, and production teams.
- - Demonstrated experience in budget management, cost tracking, procurement coordination, and vendor management.
- - Proficiency in project management and collaboration tools such as Asana, Monday.com, Notion, or equivalent platforms.
- - Excellent written, verbal, and presentation skills, with the ability to communicate effectively with senior leadership, partners, and external stakeholders.
- - Strong capability in developing and maintaining project plans, timelines, trackers, Gantt charts, and operational documentation in Google Workspace.
- - Highly organised and detail-oriented, with the ability to manage multiple concurrent projects without compromising quality or deadlines.
- - Proactive, solution-focused, and accountable, with sound judgement in identifying, escalating, and resolving project risks and challenges.
- - Adaptable and resilient, able to perform effectively in fast-paced environments where priorities, requirements, and timelines may change at short notice.
