About the role

Key responsibilities & impact
  • Assign and trigger required online training courses through the LMS for new hires and current clinicians.
  • Maintain LMS rosters, course assignments, and due dates across all agencies; enroll, transfer, and deactivate users.
  • Monitor training completion, send reminders, and escalate persistent non-completion.
  • Coordinate clinicians’ in-person training sessions, competency check-offs, and skills validations with clinical trainers.
  • Manage clinical trainers’ calendars, session logistics, participant lists, scheduling conflicts, and cancellations.
  • Confirm rooms, equipment, sign-in sheets, and participant notifications.
  • Reschedule no-shows and missed sessions to maintain required training timelines.
  • Record online and in-person training completion and file audit-ready documentation.
  • Track compliance with the 12-hour annual HHA in-service requirement and other discipline-specific obligations.
  • Respond to clinicians’ training scheduling questions.
  • Track completion rates, overdue trainings, no-show rates, and new-hire time-to-completion; prepare monthly dashboards for the Chief People Officer.
  • Communicate training requirements and deadlines to clinicians and supervisors.

Requirements

What you’ll need
  • Associate’s degree in human resources, healthcare administration, education, or a related field, or equivalent combination of education and experience.
  • Minimum two (2) years of experience in scheduling, training coordination, staffing coordination, or a similar logistics-heavy administrative role, preferably in home health, hospice, or another healthcare setting.
  • Hands-on experience administering an LMS or comparable system (assigning courses, managing rosters, running completion reports); experience with an HRIS a plus.
  • Working knowledge of healthcare training documentation requirements (e.g., HIPAA, in-service hour requirements, competency records), or the ability to learn them quickly.
  • Strong proficiency in Microsoft Excel for tracking logs, schedules, and compliance reports.
  • Exceptional organizational skills and attention to detail, with the ability to juggle multiple training calendars, trainer schedules, and deadlines across several agencies.
  • Excellent phone and written communication skills, with the persistence and professionalism to follow up with busy field clinicians until trainings are scheduled and completed.
  • Must reside in the Bay Area with the ability to attend our monthly team meeting and activities in Hayward.
  • Bachelor’s degree in a related field preferred.
  • Direct experience in home health or hospice operations, education, or quality/compliance preferred.
  • Bilingual (English/Spanish or English/Tagalog) a plus.
