About the role
- Provide essential administrative and operational support to the Human Resources team
- Assist in recruitment, onboarding, HR administration, and employee relations activities
- Maintain accurate records and support HR projects that promote a positive employee experience
- Assist in the creation and maintenance of monthly timesheets for all employees
- Extract and consolidate attendance data from IBSS and the company’s HR Information System (HRIS)
- Monitor attendance records to identify inconsistencies, disputes, and irregularities
- Coordinate with concerned departments or employees to validate discrepancies
- Maintain and update employee 201 files
- Digitize and upload employee records to the HRIS
- Ensure compliance with data privacy and confidentiality standards
- Support the transition from manual to digital filing systems
- Provide logistical and administrative support for employee engagement activities
- Assist in the planning, coordination, and execution of training and development programs
- Help prepare training materials and documentation required for external learning sessions
- Assist in sourcing candidates through job boards, social media, and other recruitment channels
- Screen resumes and endorse qualified applicants to HR Officers
- Coordinate interview schedules and communicate with candidates
- Help maintain the applicant tracking system and recruitment database
- Collaborate with HR and support teams to conceptualize and produce multimedia content
- Assist in editing and formatting visual materials for clarity and consistency
- Support the development of engaging content for employee communication platforms
Requirements
- Degree in Human Resources, Business Administration or related discipline is desirable but not essential
- Previous experience (typically 0–2 years) in an administrative or HR support role is preferred
- Fresh graduates are welcome to apply
- Familiarity with HRIS systems and standard office software (e.g. Microsoft Office)
- Basic understanding of employment law, data protection and HR best practice
