About the role
- Study the client and understand their needs.
- Study and understand the event's target audience.
- Collaborate on developing concepts for the event.
- Create content according to the event's target audience.
- Plan the event.
- Provide client support for planning, approvals, and expectation alignment.
- Create the event schedule.
- Develop the timeline and ensure it is followed.
- Ensure the budget spreadsheet is filled out accurately.
- Monitor the budget to ensure it is not exceeded.
- Record all project management actions according to the proposed process.
- Propose process improvements.
- Source venues that meet the event requirements and book them in advance.
- Purchase and/or rent materials and equipment.
- Handle logistics for materials, equipment, and personnel.
- Organize logistics and support for speakers and attendees before, during, and after the event.
- Select suppliers who meet delivery deadlines and the event budget.
- Prospect new suppliers and partners.
- Check for contracts that need to be signed.
- Determine if permits and licenses are required.
- Comply with relevant regulations and legislation.
- Hire external teams to execute the event.
- Train contracted external teams.
- Check that all team members are aware of their roles.
- Lead the on-site team.
- Resolve unforeseen issues quickly and decisively.
- Oversee event setup and teardown, ensuring quality and care.
- Prepare final accounting/reporting.
