About the role
Key responsibilities & impact- You’ll manage complex, high-volume calendars for senior leaders—balancing competing priorities, resolving conflicts, and ensuring time is used effectively in a fast-paced, high-demand environment.
- You’ll support key business initiatives and projects by coordinating deliverables, tracking actions, and ensuring alignment across stakeholders.
- You’ll serve as a key point of contact, building strong relationships across internal teams and external partners while communicating proactively and resolving issues as they arise.
- You’ll plan and execute meetings and events—from logistics and travel coordination to agendas, materials, and follow-ups—ensuring every detail is handled seamlessly.
- You’ll capture, summarize, and distribute meeting notes, and help prepare materials and insights that support leadership decision-making.
- You’ll maintain key resources like SharePoint sites, org charts, phone lists, and floor plans, ensuring information is current and accessible.
- You’ll track the performance of vendor-supported tools, gather feedback, and contribute to recommendations that improve processes and outcomes.
- You’ll act as a liaison for business continuity efforts, helping ensure readiness and alignment within the division.
- You’ll manage office supplies, track expenses, and reconcile cost activities to keep operations running smoothly.
- As you build expertise, you’ll have opportunities to take on additional responsibilities in logistics, coordination, and broader business operations.
Requirements
What you’ll need- Bachelor’s degree or equivalent related experience required.
- Minimum two years of experience in related business operations support role in a medium to large organization required.
- Experience and competency using the Microsoft Office suite required, including Word, Excel, PowerPoint, Access, and Visio.
