About the role

  • Assist in preparing administrative (Acte d’engagement) and financial (DPGF - detailed price breakdown) documentation for tender responses, supporting the architects
  • Monitor administrative and financial aspects of ongoing projects, including preparing interim payment statements for contractors and final account documents (DGD)
  • Manage and issue invoices
  • Manage supplier relationships and contracts
  • Prepare and submit required administrative declarations
  • Prepare and monitor billing forecasts
  • Handle daily administrative tasks and organize documentation
  • Support teams in overall administrative preparation and management
  • Collaborate with other departments to optimize administrative processes

Requirements

  • Proven experience in a similar administrative role, ideally within construction project management (maîtrise d’œuvre) or a construction company
  • Excellent command of French (impeccable spelling and grammar)
  • Strong proficiency with office software (Word and Excel) and invoicing/billing software
  • Knowledge of accounting and administrative management
  • Familiarity with billing procedures for public contracts (price revisions, retention guarantees, etc.)
  • Proficiency in calculating price adjustments and retention guarantees
  • Effective written communication skills
  • Strong interpersonal skills with internal and external stakeholders
  • Ability to prioritize tasks
  • Organized, methodical, and detail-oriented
  • Ability to manage multiple files/projects simultaneously with reliability and a methodical approach
  • Able to work independently while valuing teamwork
  • Knowledge of InDesign is a plus
