About the role
Key responsibilities & impact- Help create a welcoming and efficient workplace by supporting day-to-day facilities and office operations.
- Manage accommodation and office space needs, including coordinating building maintenance and supporting office improvement projects.
- Respond to internal service requests and assist with purchasing and vendor coordination.
- Support meetings and events by arranging room setups and catering for guests and VIP visitors.
- Provide front-desk support, including handling phone inquiries and maintaining office contact information.
- Coordinate incoming and outgoing mail, courier services, and delivery records.
- Support workplace health and safety initiatives, including coordinating training and maintaining compliance records.
- Collaborate with colleagues across the business to ensure smooth office operations and an excellent employee and visitor experience.
- Take on additional responsibilities and projects as needed to support the team and business objectives.
Requirements
What you’ll need- Strong organizational and multitasking skills
- A proactive, customer-service mindset with excellent communication skills
- Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment
- Flexibility and willingness to support a variety of office and facilities-related activities
- Previous experience in an Executive Assistant, Administrative Assistant, Office Coordinator, or related support role
- Familiarity with procurement, accounts payable, and vendor management processes
- Intermediate English required, with the ability to communicate effectively in person, emails, meetings, and phone conversations.
