About the role
- Oversee the planning and execution of programs, ensuring deadlines and client financial controls are met.
- Provide valuable guidance on best practices, compliance, and cost-savings for events.
- Create and communicate budgets throughout planning, ensuring final budgets are reconciled.
- Manage supplier negotiations and relationships, ensuring high service levels and professional issue resolution.
- Conduct venue research, prepare preliminary budgets, and manage the electronic RFP/proposal process.
- Track attrition and losses, manage registrations, and oversee communication with hotels regarding room blocks and cancellations.
- Create client websites for data collection and registration, ensuring compliance requirements are met.
- Meet reporting and audit deadlines and ensure supplier billing compliance.
- Assist in developing standard operating procedures and best practices to improve operations across regions.
Requirements
- Strong experience in meeting or program planning
- Experience supporting a life sciences client
- Proficiency with Microsoft Office applications
- Proficiency with Cvent
- Knowledge of the travel industry and destination expertise
- Up to 25% travel (domestic and international) may be required
- Ability to build strong partnerships with clients, prospects, suppliers, and peers, and demonstrate knowledge of service and support practices
- Ability to work independently and be adaptable, including willingness to travel during peak periods for on-site client and venue management
