About the role
Key responsibilities & impact- Own end-to-end logistics for all trade shows and industry conferences Bankjoy attends throughout the year, including but not limited to credit union and community banking events across North America.
- Manage booth design, shipping, setup, and teardown coordination.
- Source and manage event vendors including AV, print, swag, and signage suppliers.
- Coordinate internal staffing plans for each event — who is attending, travel logistics, booth schedules, and briefing materials.
- Maintain an annual event calendar and proactively flag deadlines, registration cutoffs, and sponsorship opportunities.
- Lead end-to-end planning and execution of Bankjoy's annual client conference each September, from venue selection through post-event wrap-up.
- Manage venue contracts, catering, AV, registration, hotel room blocks, and on-site logistics.Coordinate with internal teams on agenda, speaker lineup, and attendee communications.
- Own the event budget and track actuals against plan throughout the planning cycle.
- Manage attendee registration and communications leading up to and following the event.
- Own and maintain the events budget across all activities, providing regular updates to leadership.
- Source, negotiate, and manage contracts with event vendors and venues.
- Ensure all events are delivered on time and within budget.
- Provide post-event summaries including attendance, spend, key outcomes, and recommendations for future events.
- Coordinate with Sales and Customer Success on post-event follow-up to ensure leads and client interactions are captured and actioned.
Requirements
What you’ll need- 6+ years of event management experience, ideally in B2B SaaS, fintech, or financial services.
- Proven track record managing trade shows and multi-day conferences end-to-end, including budget ownership.
- Strong vendor negotiation and contract management skills.
- Exceptional organizational skills and attention to detail — you can manage multiple events at different stages simultaneously without losing track of anything.
- Proactive communicator who surfaces issues early and keeps all stakeholders informed.
- Comfortable working independently in a remote, fast-paced startup environment.
- Ability to travel to events across North America as required (estimated 6–10 trips per year).
