Administrative Assistant – Tourism
BancorbrásAdministrative Assistant responsible for supplier negotiations and internal hotel registrations. Ensuring document organization and compliance within a tourism company in Brazil.
About the role
Key responsibilities & impact- Verification of supplier negotiations in legacy systems, ensuring data integrity;
- Registration of hotels, services and partners in internal systems, ensuring accuracy and compliance with deadlines;
- Conversion of values according to financial and operational rules;
- Entry of international reservation prices (Euro and US Dollar) with correct application of tax rates;
- Verification and request of commission payments;
- Processing of contracts through Payment Requests;
- Processing of reimbursements, refunds and financial adjustments in accordance with internal policies;
- Editing, validating, formatting and organizing administrative documents;
- Organization and updating of digital files, ensuring document traceability;
- Updating spreadsheets, databases and systems with standardized information;
- Support to internal areas by clarifying doubts and providing operational assistance;
- Communication and alignment with external partners and suppliers;
- Assistance in improving administrative processes and monitoring pending items;
- Meeting deadlines and working collaboratively to ensure smooth operations.
Requirements
What you’ll need- Completed high school (Advantage: currently studying Business Administration, Tourism, Hospitality or related fields);
- Proficiency with Google tools for creating and maintaining spreadsheets, documents and organizing files;
- Microsoft Office (Excel and Word) for controls, records, reports and administrative documents;
- Experience with legacy systems for registrations, updates, verifications and operational entries.
