About the role
Key responsibilities & impact- Verify documentation submitted by clients and validate information for adding/removing co-owners and proxies;
- Make registration changes in the OMNI system and send notifications to clients;
- Return pending requests for additional documentation;
- Send documentation for drafting minutes/agreements and follow up on the validation workflow;
- Record, organize and file physical and digital documents according to internal policies;
- Configure parameters in systems (Newcon, Conecta, Omni) based on group rules and internal requests;
- Request the onboarding of new partners via Conecta (Fluig) and monitor the process until approval;
- Send notifications to responsible areas and complete requests within deadlines;
- Enter bank statement information into the Controle/Newcon system and reconcile account mirrors;
- Verify bank balances and the daily transaction list;
- Perform daily reconciliation for groups, ensuring alignment between bank balance and system balance;
- Prepare the reconciliation closing report and forward it to the responsible areas;
- Receive requests and validate documentation for payoff analyses or credit use;
- Check payment capacity and outstanding balance, applying credits when necessary;
- Schedule operations in Newcon and release funds according to internal rules;
- Inform the client about the progress of the process;
- Receive and evaluate refund requests, validating documentation and eligibility;
- Schedule and release payments in the system, exporting data to Protheus;
- Request required approvals and monitor the workflow until completion;
- Generate invoices/collection slips via OMNI and send them to the client;
- Support the calculation of overall group commissions, validate invoices and process payments;
- Request the opening of account transfer processes to the administrator;
- Extract reports on marketed contracts, quotas, parameterizations and other indicators from the Newcon system;
- Allocate quotas and send post-sales information to relevant areas;
- Validate quotas and follow up on operational pending items.
Requirements
What you’ll need- High school diploma;
- Previous experience in financial services companies;
- Intermediate Excel skills, including basic formulas, data organization and control creation;
- Familiarity with Microsoft Office, including Word, Outlook and other tools for communication and documentation;
- Experience with document management, including filing, version control, validation and verification of physical and digital documents;
- Strong written and verbal communication skills, including drafting emails, responding to requests and interacting with internal teams;
- Knowledge of administrative routines, such as reviewing draft documents, producing documents and managing requests;
- Organized, detail-oriented, proactive, deadline-driven and collaborative attitude.
- Differential:
- Experience with consórcio systems (such as Newcon, OMNI, Protheus and Conecta), performing operations, queries, basic parameterization and report generation;
