About the role

Key responsibilities & impact
  • Download and log submittals and RFIs daily.
  • Stamp and upload submittals timely and accurately.
  • Format and edit AIA Master Specifications daily.
  • Format and edit reports, punch lists, meeting minutes and letters as needed.
  • Coordinate with and support the Shop Drawing Manager, fellow Engineering Assistant, and Office Administrators to ensure shop and spec folders are covered consistently and timely each day.
  • Assist the Project Managers, Department Managers and Engineers with Microsoft Word, Power Point and Excel.
  • Assist with packaging contract documentation for clients as needed.
  • Assist with covering Wayne PA office front desk as needed.
  • Assist with special projects or administrative tasks as needed.

Requirements

What you’ll need
  • Strong attention to detail, time management, and organizational skills are essential.
  • Must be able to work efficiently and multitask to meet deadlines.
  • Solid problem-solving skills and solution-oriented mindset.
  • Strong collaboration and interpersonal skills, required.
  • Excellent communicator, both written and verbal.
  • Previous engineering or construction firm experience, preferred.
  • Previous administrative support and clerical experience, required.
  • Knowledge of shop submittal and specifications process, required.
  • Associate’s degree, preferred (HS Diploma, required).
  • Technical Experience: Advanced level of Microsoft Word, required.
  • Excel/Power Point/Outlook/Teams, required.
  • Newforma or other Project Management software, strongly preferred.
  • ProCore, strongly preferred.
  • AutoCAD Construction, preferred.
  • Deltek Specpoint, preferred.
  • MasterWorks, preferred.
  • Bluebeam, preferred.
  • Adobe Acrobat, preferred.
  • HUBSPOT, preferred.
  • SharePoint, preferred.
