About the role

Key responsibilities & impact
  • Manage calendar and scheduling requirements for 2 regional executives
  • Coordinate internal and external meetings, including agenda preparation, pre-reads, and follow-ups
  • Serve as the primary point of contact for the European leadership team
  • Maintain confidentiality and handle sensitive information with discretion
  • Support planning and logistics for leadership meetings
  • Plan and coordinate end-to-end travel itineraries, including flights, visas, accommodation, and ground transportation
  • Draft professional emails, communication notes, presentations, and reports as required
  • Liaise between the leadership team and internal teams, external partners, and global stakeholders
  • Track action items from meetings and ensure timely closure
  • Manage expense reports, reimbursements, and purchase orders
  • Coordinate end-to-end logistics for leadership team events, guest visits, and interactions with global visitors
  • Oversee expense reporting through Concur

Requirements

What you’ll need
  • Minimum of HBO working and thinking level
  • Preferably 5 years of experience as an executive assistant
  • Excellent written and oral communication skills in English
  • Preferably excellent written and oral communication skills in Dutch
  • Expertise in MS Office, including Excel and Teams
  • Fulltime availability
  • Strong problem-solving capability and attention to detail
  • Ability to manage multiple priorities and work across teams and geographies
  • Strong judgment and discretion when handling sensitive information
