About the role

  • Manage the entire RSVP process for corporate events, including:
  • Sending invitations
  • Following up on confirmations
  • Tracking attendance, absences, substitutions, and waiting lists
  • Act as the main point of contact for guests, answering questions and providing guidance on logistics, schedules, access, dress code, flights, accommodation, and related matters
  • Update and maintain guest databases, ensuring information is always accurate and organized
  • Work in partnership with events, client service, suppliers, and client teams to ensure full alignment
  • Monitor RSVP metrics (response rate, attendance, no-shows, deadlines, etc.)
  • Support the events team with logistical planning based on the actual number of confirmed participants
  • Ensure an impeccable guest experience from invitation through post-event follow-up.

Requirements

  • Experience with RSVP management, guest management, lists, check-in, or participant services
  • Highly organized with extreme attention to detail
  • Strong verbal and written communication skills
  • Comfortable working with systems, spreadsheets, and digital tools
  • Prior experience with corporate events, trade shows, conventions, roadshows, or incentive events
  • Knowledge of Inteegra (plus)
  • Experience in corporate travel, private aviation, premium events, or hospitality environments
