About the role
- Lead the planning, coordination, and delivery of in-person and virtual events, from initial briefing through reconciliation
- Conduct venue research and negotiations, manage supplier relationships, and ensure compliance with client hospitality and industry regulations
- Manage onsite or virtual meeting delivery, serving as the primary client and faculty contact, and resolving logistical or technical issues in real time
- Oversee event logistics including accommodation, catering, audio visual requirements, ground transfers, and offsite dinners
- Coordinate faculty and attendee communications, including invitations, itineraries, briefing materials, and thank-you correspondence
- Manage faculty arrangements such as travel bookings, honoraria, expenses, consultancy agreements, and fair market value (FMV) compliance
- Maintain strong financial control of events by preparing budgets, monitoring recoveries, reconciling costs, and reviewing invoices
- Ensure client compliance requirements are met, including due diligence, transparency reporting (e.g., Sunshine Act/EFPIA), and internal training on compliance
- Serve as the liaison with clients throughout the project lifecycle, including kick-off, status meetings, and debriefs
- Mentor and support colleagues by providing training, guidance, and feedback on event management best practices
- Build and maintain strong working relationships with clients, faculty, suppliers, and internal teams
- Support proposal and pitch development by contributing on event solutions, costings, and logistical recommendations
- Collaborate across teams to ensure smooth project delivery, effective communication, and adherence to agreed timelines
Requirements
- At least 6 years’ experience within the pharmaceutical or medical communications sector
- Willingness to travel for on-site meetings and events up to 12 times per year
- Experience delivering international events (advisory boards, workshops, preceptorships, congresses, satellite symposia, exhibitions and standalone events) in-person and virtual
- Excellent verbal and written communication skills
- Excellent interpersonal skills and ability to provide tactful handling and adapt to situations
- Able to handle challenging situations with clients, faculty and internal colleagues and provide adequate solutions
- Experience with platforms: Cvent, Zoom, WebEx, Teams, Vmix
- Experience managing budgets, supplier relationships, and compliance requirements
