About the role

  • Organize in-person client roundtable meetings and workshops for up to 50 delegates, including liaising with venues, caterers and other suppliers; coordinating with delegates and internal stakeholders; attending events to ensure smooth operations; and managing post-event activities.
  • Coordinate webinars and virtual roundtable meetings, including scheduling pre-calls, managing day-of logistics, preparing recordings and attendance reports, and distributing outcomes to internal stakeholders.
  • Coordinate logistics for large conferences: source venues, liaise with external suppliers, oversee budgets, manage registrations, and ensure smooth day-of operations.
  • Manage the event calendar and collaborate with internal stakeholders to ensure coordinated event delivery across all markets.
  • Oversee all event data and reporting.
  • Serve as the day-of logistics and operations contact for all our LATAM client events (requires domestic and some international travel).

Requirements

  • Fluent English (C1 level or above). Please note: only CVs in English will be considered.
  • Advanced/Fluent Spanish is a plus.
  • Relevant work experience, preferably organizing both in-person and virtual events or within a commercial environment.
  • Enthusiastic and energetic with exceptional attention to detail.
  • Excellent organizational and negotiation skills, with the ability to effectively manage multiple activities under tight deadlines.
  • Capable of multitasking and reprioritizing in a fast-paced, demanding environment.
  • Professional with excellent communication skills and the ability to build relationships at all levels.
  • Self-motivated and capable of working both independently and as part of a team.
  • Proficient in PowerPoint, Word and Excel.
  • Demonstrates a strong willingness to learn and develop professionally.
  • Familiarity with event platforms such as Zoom, Bizzabo, Stova or similar tools.
