About the role

  • Organising and managing a complex schedule of meeting and diary requirements, both internally and externally for members of the senior management team.
  • Communicating with clients, scheduling calls, workshops, and arranging meeting agendas.
  • Arranging business travel, including flights, transportation, accommodation and restaurants for senior management members.
  • Compiling and filing business and travel expenses.
  • Meeting preparation including meeting room bookings.
  • Organising internal events and off-sites for various teams.
  • Collation, preparation of presentations, correspondence and proposals using Word, Excel and PowerPoint, including minute taking.
  • Providing support to the Business Infrastructure & Operations team as required.

Requirements

  • Ability to speak and write in English (C1)
  • Excellent interpersonal skills with ability to build relationships at all levels
  • A self-starter, with a positive, can-do attitude, able to juggle a variety of tasks at once
  • Passionate about teamwork but able to work independently, too
  • Attention to detail, excellent coordination, time management and organisational skills.
  • Strong ability to communicate clearly and professionally with both internal colleagues and clients
  • Excellent MS skills particularly Outlook (diary management), MS PowerPoint, Excel & Word
  • Ability to use initiative, forward thinking, with a willingness to proactively take on new tasks
  • Adept at managing a varied workload with the ability to multi-task and re-prioritise in a fast-paced and demanding environment.
  • Work experience as a Personal Assistant or within a higher-level administrative position.
  • Proven experience working for a fast-growing international consultancy or professional services business.
  • Proven work experience managing complex meeting schedules across multiple time zones.
