About the role
- Ensure receipt of requests and forward them to our account managers and our properties.
- Prepare and send commercial proposals.
- Ensure that all internal team activities are delivered on time and with consistency.
- Maintain good business relationships with our suppliers of promotional items and client-facing initiatives.
- Control OPEX across the team to ensure sound financial management and profitability.
- Maintain good relationships for the submission of invoices and APs for payment.
- Liaise with all departments and frequently act as an intermediary in complex situations.
- Ensure organization and forward planning.
- Support field teams that are not based in São Paulo and require additional coordination, such as shipping promotional items, materials, and communications.
- Develop control sheets and reports to make the department’s routine more productive.
- Monthly production closing for the field sales team that brings business to the company.
- Provide full support with tools such as presentations, spreadsheet creation, and analyses for leadership.
- Onboarding/offboarding checklist – organize arrival kits and returns at offboarding, request or deactivate accesses, and ensure HR and IT have completed all onboarding/offboarding processes.
- Onboarding with new employees – present assistants’ processes.
- Control receipt of invoices and payment slips together with OPEX.
- Preparation of AP documentation for submission to Finance.
- Service quotations, budget analysis, and payment processing for services.
- Airfare and vehicle rental: issuance as requested.
- Review of global portals: Cvent (Choice / Radisson / Wyndham) and OnQ (Hilton).
- Analysis of global documents.
- Preparation of assumptions/parameters.
- Follow-up (FUP) communications with hotels.
- Monitor RFPs on portals and follow up with hotels.
- Log each RFP in the negotiations spreadsheet.
- Update the status of each RFP in the negotiations spreadsheet.
- Audit uploads and data imports.
- Initiations / Business Case support.
- Support hotels regarding RFPs.
- Support hotels with access issues.
- Support the RFP automation process.
- Serve as the AHI focal point with Global.
- Blue Seal (Selo Azul) processes.
- Monthly waves (average 30 negotiations per wave).
- Document analysis.
- Preparation of assumptions/parameters.
- Follow-up communications with hotels.
- Analysis of CCR negotiations.
- Completion of RFPs for hotels when short deadlines and urgency require it.
- Monitor and analyze requests from Junior and Mid-level Sales Analysts.
Requirements
- Bachelor’s degree in Tourism or Hospitality.
- Intermediate English or Spanish.
- Proficient in Microsoft Office.
- Experience with Power BI.
- Experience with Salesforce.
- Strong knowledge of Distribution, Revenue Management (RM), and Commercial operations.
