About the role
- Own project administrative operations end-to-end, including setup, billing, contractor coordination, reporting, and closeout.
- Manage project invoicing and contractor payments accurately and on time, resolving issues before they become problems.
- Maintain clean and reliable data across multiple systems, conduct regular audits, and ensure strong quality control.
- Provide clear reporting and visibility on budgets, timesheets, and project health among internal staff and leadership.
- Manage up effectively by anticipating needs, flagging risks early, and ensuring leadership has clear, decision-ready information.
- Communicate clearly down, across, and up, including with executive stakeholders, tailoring communication to the appropriate audience.
- Work independently and efficiently, prioritizing multiple deadlines without needing constant direction.
- Improve workflows and documentation so the team operates more consistently and efficiently over time.
- Manage logistics and operational details for events, meetings, and other ad hoc company needs to ensure smooth execution.
Requirements
- Bachelor’s degree required.
- 1–3 years of experience in operations, project management, consulting, or a similarly structured environment preferred.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Basic familiarity with financial tracking or bookkeeping is a plus.
- Interested in growing a career in operations or project management.
- Strong ownership mindset: you take responsibility for outcomes and follow through fully.
- Highly independent and self-directed: you can ramp up quickly and operate with minimal oversight.
