About the role
Key responsibilities & impact- Manage and send faxes and handle incoming documentation
- Coordinate lab-related administrative tasks
- Support prior authorisations (PAs)
- Coordinate external referrals
- Manage and organise administrative follow-ups
- Answer incoming phone calls where appropriate
- Provide general back-office administrative support
- Follow established SOPs and processes
- Identify opportunities to improve and streamline administrative systems
- Support a growing mental health practice and its clinical team across two locations
Requirements
What you’ll need- Experience in medical or healthcare administration
- Highly organised and detail-oriented
- Quick learner able to confidently pick up new processes and systems
- Comfortable working independently in a remote environment
- Proactive and able to identify ways to improve processes
- Professional and confident communicating with patients and external providers
- Comfortable working with confidential medical information
- Ideally experienced within a mental health or similar healthcare setting
- Comfortable communicating over the phone with a clear, professional and easily understood accent
- Experience with RingCentral advantageous
- Experience with PracticeQ / IntakeQ advantageous
- Experience with other medical practice management or communication platforms considered
- Part-time, 20 hours per week initially, with potential to increase to full-time
