About the role
Key responsibilities & impact- Answer inbound patient calls professionally and efficiently
- Respond to patient enquiries and provide outstanding customer service
- Communicate with patients and families in English, Spanish, and Portuguese
- Direct patient enquiries to the appropriate clinical team when necessary
- Schedule, reschedule, and confirm patient appointments
- Manage provider calendars to maximize scheduling efficiency
- Conduct outbound calls for appointment reminders and patient follow-up
- Ensure patient information is accurate and updated within the practice management system
- Maintain accurate patient records within the EMR
- Assist with patient registration and demographic updates
- Coordinate communication between providers, patients, and internal staff
- Support the smooth day-to-day administrative operations of the practice
- Deliver a friendly, compassionate, and professional experience to every patient interaction
- Handle sensitive patient information with discretion and confidentiality
- Identify opportunities to improve patient communication and operational efficiency
- Collaborate with the clinical team to ensure excellent continuity of care
Requirements
What you’ll need- Fluent in English, Spanish, and Portuguese, written and spoken
- Previous experience working in a U.S. healthcare or medical practice
- Strong telephone communication and customer service skills
- Excellent organizational skills with exceptional attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Comfortable working independently while following established processes
- Professional, compassionate, and patient-focused approach
- Experience using eClinicalWorks (preferred)
- Previous experience as a Patient Coordinator, Medical Receptionist, Medical Administrative Assistant, or Front Desk Coordinator (preferred)
- Familiarity with RingCentral or other VoIP phone systems (preferred)
- Knowledge of HIPAA regulations and patient confidentiality (preferred)
- Experience working in pediatric or family medicine practices (preferred)
- Availability for full-time, 40-hour-per-week work during U.S. Eastern Standard Time hours
