About the role

  • Execute recurring daily, weekly, monthly, and quarterly tasks according to detailed SOPs.
  • Ensure all assigned tasks in Asana are completed by the defined deadlines.
  • Maintain organized, updated, and accurately tagged documentation for marketing processes and content assets.
  • Assist with inbox management, including identifying messages requiring action, drafting replies (when SOPs exist), and flagging items for team members.
  • Liaise with external contacts, such as podcast guests, partners, or service providers, following clear scripts and guidance.
  • Retrieve, organize, and manage podcast and video transcripts.
  • Prepare transcript files for use in downstream content creation (e.g., turning transcripts into structured documents).
  • Use AI tools (provided by the team) to assist with extracting keywords, timestamps, or highlight sections.
  • Compiling moments or quotes to help guide content editors.
  • Perform administrative work in Zoho CRM, such as reviewing and approving incoming data, verifying entries for accuracy, and updating records based on SOP steps.
  • Enter data with very high attention to detail to maintain CRM accuracy.
  • Coordinate logistical tasks such as collecting mailing addresses for podcast guests, preparing lists for swag shipments or follow-up communication, and updating tracking sheets and content calendars.
  • Receive tasks from multiple marketing team members (6+ people) with clear context, defined steps, deadlines, and assigned points of contact.
  • Ask questions inside Asana task comments for clarification when needed.
  • Notify the correct person when a task requires guidance or is ready for review.
  • Use Slack, Asana, and Zoho CRM tools for project management and communication.

Requirements

  • Outstanding written English with excellent grammar and clarity
  • Very strong administrative accuracy and attention to detail
  • Ability to work independently, follow structured SOPs, and meet deadlines
  • Comfortable being assigned tasks from multiple team members
  • Excellent organizational and time-management skills
  • Tech-savvy and adaptable to new tools
  • Proactive communicator—asks questions when context is unclear
  • Prior experience supporting a marketing team (Nice-to-Have)
  • Familiarity with content marketing workflows (Nice-to-Have).
  • Experience with Asana, Zoho, Slack (Nice-to-Have)
  • Ability to extract usable insights (quotes, clips, text snippets) from long-form video or audio content using AI tools (Nice-to-Have)
