About the role
- Building lead lists with: Company names, Industries, Decision-maker info (titles, roles), Relevant contact details (email, LinkedIn, etc.)
- Gathering competitor data to support: Positioning and messaging, Pricing insights, Proposal and slide preparation
- Updating CRM records (HubSpot) with: Call notes and key takeaways, Next steps and follow-up dates, Deal stage and timelines
- Keeping the pipeline clean, accurate, and up to date so the founder always knows “what’s next” for every account.
- Scheduling client calls across time zones and managing availability
- Coordinating meetings, sending calendar invites, and sharing links/materials ahead of time
- Tracking who needs a follow-up, when, and on which channel
- Formatting decks and documents using: Existing branded templates, The founder’s preferred AI deck tool (Gamma) and cleaning up final outputs
- Handling email follow-ups and light correspondence, such as: “Checking in” emails, Simple client responses based on existing templates or guidance, Polite nudges when replies are overdue
- Tracking receipts and compiling simple expense reports (no complex bookkeeping)
Requirements
- At least 3 years in a VA, Executive Assistant, Sales Support, or Operations Support role
- Comfortable working with consultants, founders, or small teams
- Strong research skills (finding accurate company & contact info online)
- Solid understanding of CRM usage (updating fields, notes, stages, tasks)
- Excellent written English for professional email follow-ups and notes
- Strong organization and attention to detail – you notice missing fields, broken links, and unclear next steps
- Ability to prioritize and manage a 10-hour weekly workload for maximum impact
- High discretion and confidentiality (cybersecurity context, sensitive client work)
- Able to work EST-friendly hours in consistent blocks (e.g. 2–4 hours a day, Mon–Thu)
- Proactive, self-directed, and comfortable asking clarifying questions when needed
- Reliable internet and a quiet, professional work environment
- Experience supporting B2B consulting, cybersecurity, or technology businesses (Nice-to-Have)
- Prior hands-on experience with HubSpot specifically (Nice-to-Have)
- Experience with lead generation, outbound research, or SDR support (Nice-to-Have)
- Familiarity with slide design or light formatting in PowerPoint/Google Slides (Nice-to-Have)
